In this role, you will work closely with and report to our Head of Tax and collaborate with the wider Finance and Legal teams to maintain well-organised and reliable entity administration across the Lucanet group. You will play a key role in keeping our corporate housekeeping running efficiently, with a particular focus on entity documentation, commercial register matters, notary-related work, and statutory filings. Beyond execution, you will actively contribute to building scalable processes, maintaining high-quality templates, and keeping the team ahead of relevant regulatory developments. This position is ideal for someone who combines precision and reliability with a genuine interest in process improvement and modern ways of working, including the confident use of AI tools, in a fast-paced international SaaS environment. A strong understanding of German legal fundamentals, especially in the area of corporate law, will be important for success in this role.
Activities
- Maintain and update corporate records and entity documentation across the global Lucanet group, including entity-related data, internal registers, and shareholder records.
- Coordinate corporate administration activities across all legal entities, including the preparation and coordination of documentation for registrations, amendments, and corporate changes.
- Prepare information and supporting documents for commercial register updates and similar formal statutory processes.
- Assist with notary-related work and coordinate related documentation processes.
- Manage and track statutory filing deadlines and ensure timely, complete, and accurate submissions across jurisdictions.
- Draft, maintain, and continuously improve standard templates for corporate housekeeping documents, ensuring they are up to date, jurisdiction-appropriate, and audit-ready.
- Track and consolidate corporate and statutory law updates flagged by local advisors, and translate the implications into practical updates to our processes and documentation.
- Build and maintain internal self-service resources, including entity fact sheets, corporate data libraries, and routing guides, so that recurring questions from across the business are answered by well-maintained reference materials rather than by individual intervention.
- Identify opportunities to streamline and automate recurring corporate administration workflows, and take ownership of implementing improvements, including the confident use of AI-powered tools where they add genuine efficiency.
- Maintain and continuously improve entity administration tools, filing systems to ensure up-to-date and audit-ready documentation.
- Support cross-border entity maintenance activities, including coordination with local advisors and authorities in international jurisdictions.
- Support the Head of Tax and the wider Finance team in day-to-day operational tasks, helping to ensure smooth execution across ongoing corporate administration topics.
Requirements
- Legal or notarial background, e.g. Bachelor of Law, Paralegal qualification, or comparable training such as Legal and Notarial Assistant / Notarial Assistant.
- Professional experience in a legal, notarial, or corporate administration environment, with hands-on exposure to commercial register matters and entity documentation.
- Strong interest in corporate administration, entity maintenance, and notary-related work.
- Solid knowledge of German legal fundamentals, especially in German corporate law, and proven experience in comparable international legal fundamentals.
- Good understanding of formal statutory processes and the documentation requirements associated with them, including across international jurisdictions.
- A proactive approach to monitoring regulatory and legal developments relevant to corporate administration, with the ability to translate changes into practical process or documentation updates.
- Experience with or genuine appetite for process improvement and workflow automation, you look for smarter ways to do recurring work, not just faster ones.
- Comfortable using AI tools as a natural part of your working day, whether for drafting, research, or process support; you think about how technology can improve quality and efficiency, not just speed.
- Highly structured, detail-oriented, and reliable working style, with a strong sense of ownership over deadlines and accuracy.
- Hands-on mentality with a focus on execution and getting things done, including in an international, multi-entity context.
- Comfortable working in a dynamic, international environment with exposure to non-German jurisdictions.
- Fluent German and strong English skills are required for working in an international context.
