Communication

  • Contribute to the preparation and distribution of weekly internal communications and the external parent bulletin.
  • Serve as the first point of contact for student, parent, and teacher enquiries, ensuring all responses are handled in a timely, professional, and efficient manner.

Budget and Financial Administration

  • Support the Junior School Principal in the preparation of the annual budget.
  • Monitor and track budget expenditure throughout the year.
  • Manage purchase orders and oversee the approval process for expenditures, ensuring compliance with school procedures.

Calendar Management

  • Serve as a member of the school Calendar Committee.
  • Coordinate and maintain the Junior School annual calendar.
  • Ensure all events, conferences, field trips, examinations, and room bookings are accurately scheduled and aligned with the whole school calendar.

School Operations and Event Management

  • Facilitate key school functions, including Substitute teacher coverage, Parent-teacher conferences, Orientation Day and First Day of School, Junior School events, and Student field trips.

Student Records and Information Systems

  • Manage the Student Information System, ensuring up-to-date student and teacher timetables along with timely communication of enrollment changes.
  • Oversee the Junior School report card process.
  • Support the annual class placement process.
  • Manage student re-enrollment procedures each summer.

Emergency Procedures

  • Update Junior School emergency procedures in coordination with leadership.
  • Assist in the implementation and ongoing oversight of emergency protocols.

Start of Academic Year Coordination

  • Work closely with the Facilities Department to support holiday renovation projects, and classroom reallocation, and room setup.
  • Ensure readiness of facilities for the start of the academic year.
  • Strong organizational and time-management skills

  • Excellent written and verbal communication abilities
  • High level of attention to detail and accuracy
  • German B1 proficiency
  • Ability to manage multiple priorities and deadlines
  • Proficiency in administrative systems and digital tools
  • Collaborative mindset with strong interpersonal skills
